Why your clinician may use ComfortNotes

ComfortNotes helps a clinician organise written notes or dictated observations into draft clinical records and letters. AI can make mistakes: your clinician must check, correct and approve the documents. It does not replace their judgement.

Recording is your conversation to discuss

Recording does not start automatically. Your clinician should explain what they intend to record and how it will be processed, and complete the required agreement checks. Current recording is designed for clinician dictation, not an always-listening system.

If you do not want to be recorded, tell your clinician. Ask about an alternative and whether AI processing would still be used: typing notes instead does not itself turn AI processing off.

What happens to information?

Relevant notes and transcripts are processed by OpenAI to prepare documents; AssemblyAI provides current voice transcription. Saved records are held through Supabase, with Netlify providing hosting and protected request handling. Audio is not saved in the application database, but provider retention can still apply. We do not promise zero retention or UK-only processing.

Records are private by default. A clinician may explicitly share a selected approved document with an authorised colleague in the same clinic. The app does not automatically send letters to you.

Questions or a correction?

Contact your treating clinic about your care, the accuracy of your record, access requests or its privacy arrangements. The clinic should explain how it uses ComfortNotes. Product or privacy enquiries can also be sent to info@comforts-hearing.co.uk; do not include clinical details in an initial email.

This general explainer complements, rather than replaces, your clinic’s patient notice and individual discussion.
